Artifact Submission Guidelines

All submissions require your contact information, including name, email address, physical address, and the year(s) you attended as a camper or were on staff.

Please note that if the artifact is not scanned, your generous gift of a physical item will become a treasured part of Camp Stella Maris’ historical archive. If necessary, we can discuss ways to return your artifact(s). To this end, kindly review the Deed of Gift information at the bottom of this form.

Sending a Physical Artifact

If you are sending the artifact rather than digitizing/scanning it, we ask for your physical address to help us maintain its provenance. Please note that this information will not be made public.

Mailing Instructions:

1. Prepare a letter to be included in your package that includes your:
  1. Name
  2. Email Address
  3. Return Address
  4. Telephone Number
  5. Detailed description of the artifact(s) being sent and relevant information (e.g., time period, etc.)
Carefully package your artifact(s) and address them to Camp Stella Maris, c/o John Quinlivan | 100-Year Project, 4395 East Lake Road, Livonia, New York 14487.
Please note that you are responsible for postage and handling costs.

Dropping Off:

You can drop off at 4395 E Lake Rd, Livonia, NY 14487.
Pull into camp near the bridge and head into the main office (white house near the road) to drop off.
Please drop off during business hours of 9 am – 4pm ET.

Artifact Deed of Gift

Camp Stella Maris has received this donation as a gift. The owner, with full authority, desiring to absolutely transfer full title by submitting this form, hereby gives, assigns, and conveys finally and completely, and without any limitation or reservation, the property described below to Camp Stella Maris and its successors and assigns permanently and forever, together with (when applicable) any copyrights therein and the right to copyright the same.

1. It is understood that all gifts are outright and unconditional unless otherwise noted upon this gift agreement.

2. Gifts to Camp Stella Maris may be deductible in accordance with provisions of federal income tax laws.

3. The donor name on this form has not received any goods or services from Camp Stella Maris in return for this gift.

4. The staff of Camp Stella Maris is not permitted to furnish appraisals.

5. Camp Stella Maris gratefully acknowledges your gift.

Acquisitions

Camp Stella Maris may acquire items under the following conditions:

1. Item(s) that are relevant to and consistent with the mission and activities of Camp Stella Maris.

2. Item(s) for which Camp Stella Maris can provide proper storage, protection, and preservation.

3. Camp Stella Maris will not accept items with restrictions or conditions. All title and any applicable copyright for all item(s) becomes the sole property of Camp Stella Maris and is obtained free and clear for use or future disposition.

4. All items obtained for Camp Stella Maris are the property of Camp Stella Maris and not that of any individual paid or unpaid staff member.

5. Camp Stella Maris does not guarantee that donated items will be displayed and kept together as a unit or that the donor’s name will be publicly acknowledged with each item used.

Deaccessioning Items from the Collections

Deaccessioning of an item(s) may be considered at any time when items in the collections no longer align with the camp’s mission, no longer continue to be relevant and useful to the purposes and activities of Camp Stella Maris can no longer be properly stored, preserved, or it is in the best interest of improving the collections.
